Normal Work Schedule: Monday - Friday 8:00am to 5:00pm


Job Summary:  The Administrative Assistant I provides administrative support for the operations of unit. Performs routine and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Operates standard office equipment such as personal computers, copiers, fax machines, etc.


Additional Department Summary: Performs general secretarial and administrative duties, including serving as front office reception, answering phones, responding to general inquiries, preparing and editing correspondence for a variety of audiences, and managing billing for program activities. Manages concerns and issues that are presented as well as maintains detailed account of student records, job performance, academic standards, and employer requests for recruitment. Prepares miscellaneous disbursement vouchers, departmental transfer authorizations, and travel expense forms. Compiles data and prepares reports to support professional staff. Monitors and manages student course enrollment and that program requirements are met by applicants. Conducts inventory of office supplies and materials. Manages the departmental web based calendar. Serves daily as a liaison to other offices. May supervise student workers or other clerical staff.


Required Minimum Qualifications: High school diploma or GED or higher.


Skills and Knowledge: Excellent customer service skills, proofreading skills, and attention to details. Good organizational, priority setting, multi-tasking, and public relation skills. Excellent written and verbal communication skills. Excellent interpersonal skills to best represent the program to all constituents. Knowledge and ability to use various computer software programs including Microsoft Word, Excel, Access, PowerPoint, Banner, Qualtrics, Concur, Buy Bama, etc. Demonstrated commitment to expanding multicultural knowledge, awareness, and skills as evidenced through demonstrating self-awareness; understanding and valuing others; demonstrating knowledge of social inequalities; interacting effectively with people from a variety of backgrounds and experiences.


Preferred Qualifications: Experience in Higher Education, Student Life, Career Services or related field. Experience in an office environment within a Higher Education Institution. Experience coordinating small and large events and programs. Knowledge of Banner, P-card/Concur, and Access Database.
